Most shift businesses start on a spreadsheet and many run on one for years. It is worth being clear about why: a spreadsheet is free, everybody understands it, and it does exactly what you tell it. Those are real advantages and they are the reason this is the hardest thing to replace.

Where a spreadsheet wins

  • Free, and already installed.
  • Infinitely flexible — a spreadsheet never tells you that you are holding it wrong.
  • Everybody can read one, including staff who will never log into software.
  • No supplier, no subscription, no account to lose access to.

Where Rotasmith wins

  • It knows who is off. A spreadsheet cannot warn you that approving a holiday leaves Tuesday night short, because the holiday lives in a different file.
  • It records what actually happened. A rota is a plan; a spreadsheet never learns whether anybody turned up, so hours are reconstructed from memory or from paper.

Which you actually need

If one person builds the rota, everybody works the same days, and hours go to payroll accurately, a spreadsheet is genuinely fine and you should keep it. It stops being fine when leave, hours and the rota live in three places and somebody reconciles them by hand every month — that reconciliation is the thing being bought, not the grid.

You can paste your staff list straight in — names, emails, teams, patterns and entitlements come across in one go. The rota is then generated from the patterns rather than copied cell by cell.
Is rota software worth it for a small team?
Below about ten people, honestly often not. The value comes from reconciliation, and reconciliation is only painful once there are enough people and enough patterns to lose track of.
