Terms of Service

These terms govern use of Rotasmith. By creating a workspace you agree to them on behalf of your organisation.
The service
Rotasmith provides staff rotas, clocking in and out, hours and overtime, leave and absence management, and reporting on those. We may improve or change features over time; we will not remove something you rely on without telling you first.
Accounts & acceptable use
You are responsible for activity under your workspace and for keeping access secure. Do not misuse the service, attempt to break its security, or use it unlawfully.
Fees
There is a 30-day free trial and no card is needed to start it. After that, billing is monthly and based on how many people are on your books: a monthly minimum, then a per-person rate that decreases as your headcount grows. The current rates are shown at rotasmith.com/pricing and on your billing screen before you enter any payment details. We will always tell you before charging you anything, and there is no minimum term.
Data
Your organisation's data remains yours. Our handling of personal data is described in the Privacy Policy and the Data Processing Agreement, which form part of these terms.
Availability & liability
We aim for high availability but do not guarantee uninterrupted service. To the extent permitted by law, our liability is limited to the fees paid in the preceding 12 months. Nothing limits liability that cannot be limited by law.
If your account lapses or a payment fails, your rota stays readable and your staff can still clock in and out. We will not withhold access to a live rota or to attendance records over an unpaid invoice.
Termination
Either party may end the agreement with notice. On termination you can export your data; we then delete or anonymise it per your instructions and our retention policy.
Governing law
These terms are governed by the laws of England and Wales.
