For cleaning and facilities companies

Rota and hours software for cleaning and facilities teams

When staff work across sites nobody sees them start, and the hours are the invoice. Rotasmith records who was rostered where, what they actually worked, and flags the shifts nobody turned up to.

What usually goes wrong

You cannot tell whether a site was actually covered last night.

Every rostered shift is compared against the clock. Anything nobody clocked into is listed, so a missed site surfaces before the client rings.

Hours are collected on paper and typed up twice — once for payroll, once to invoice.

Worked hours and overtime come from the clock against the rota, and export as a file for payroll.

Staff move between sites and none of them have a work email.

A shared device at each site lets anyone clock in with a PIN, and staff with a phone can use that instead.

Patterns it already handles

  • Early mornings and evenings around client opening hours
  • Staff split across several sites in a week
  • Part-time contracts of a few hours a day
  • Relief staff covering absence at short notice

Questions

Can we set up a device at each site?
Yes, as many as you need. Each one is enrolled once, named for its site, and can be removed if it goes missing.
Does it show which shifts nobody attended?
Yes. Reporting lists rostered shifts with no clock-in, once the shift has finished — a shift that has not started yet is never counted as missed.
Can we see hours per site for invoicing?
Shifts carry the team they belong to, so hours group by team. If you set up a team per site or per client, hours group that way too.

See it on a real rota

The demo opens a working example with a published rota, three weeks of clocked hours and a leave request waiting to be approved. Nothing to sign up for, and it is deleted after a week.
